Part-Time Art & Events Administrator
Location: Local / Hybrid (some remote, some in-person)
Pay: $20/hour
Hours: 10 hours per week (with full-time hours leading up to major events)
Benefits: None
Overtime: Not available
We are seeking a highly organized and dependable Part-Time Art & Events Administrator to support the planning and execution of public art projects and community events. This role is ideal for someone who is comfortable handling logistics, vendors, and administrative work, and who enjoys being part of creative, fast-moving projects.
This position is partially remote, with required in-person work during event setup and event days.
Key Responsibilities
- Coordinate event logistics and schedules
- Manage vendor communication, outreach, and follow-up
- Track vendor applications, W9s, contracts, certificates of insurance, and invoicing.
- Assist with vendor solicitation and onboarding
- Support marketing coordination and event communications
- Maintain spreadsheets, records, and reporting for events
- Assist with public art project administration
- Provide on-site support during events (check-in, setup, troubleshooting)
- Help with signage, supplies, and equipment coordination
Required Qualifications
- Strong organizational and time-management skills
- Comfortable making outgoing phone calls to vendors, artists, and partners
- Excellent written and verbal communication
- Advanced experience with Excel and spreadsheets
- Experience with Google Drive and shared documents
- Experience using QuickBooks (preferred)
- Ability to track payments, invoices, and vendor documentation accurately
- Comfortable working independently and meeting deadlines
- Professional, friendly, and reliable
Physical & Availability Requirements
- Must be able to walk, stand, and work outdoors during events
- Must be able to lift and carry up to 50 pounds
- Must be available for in-person work on event days
- Flexible schedule, with increased hours leading up to events
Work Schedule & Terms
- 10–15 hours per week normally
- May increase to full-time hours during peak event weeks
- Flexible scheduling outside of event weeks
- Part-time, hourly position
- No benefits
- No overtime
